Position Summary
We are looking for a reliable, organized, and versatile **Office Manager** to run the daily operations of our small agency. As a key member of our team, you will handle a wide range of administrative, client service, and operational tasks. This is a hands-on role perfect for someone who enjoys multitasking, problem-solving, and supporting both the team and clients in a fast-paced but supportive setting.
 
Key Responsibilities
- Manage all daily office operations, including opening/closing procedures, mail, phones, and workflow.
- Greet and assist walk-in clients, schedule appointments, and provide excellent front-line customer service.
- Handle client intake, policy documentation, renewals, and follow-ups with insurance carriers.
- Maintain accurate client files, records, and databases in compliance with insurance regulations.
- Perform general administrative duties: correspondence, filing, scanning, and data entry.
- Manage office supplies, equipment maintenance, and vendor relationships.
- Support billing, premium collections, invoicing, and basic accounting tasks.
- Oversee any part-time or administrative support staff (training, scheduling, and daily guidance).
- Ensure the office remains organized, professional, and compliant with state insurance rules and data privacy standards.
- Assist the agency owner with marketing efforts, client retention campaigns, reports, and special projects.
- Help with technology systems, including agency management software, email, and Microsoft Office tools.
 
Qualifications & Requirements
- High school diploma or equivalent required; some college, insurance or business training is a plus.
- Familiarity with insurance terminology and agency management systems (such as AMS360, Applied Systems, or similar) is preferred.
- Proficient with Microsoft Office (especially Outlook and Excel) and general office equipment.
- Strong organizational skills and the ability to manage multiple priorities in a small-team environment.
- Excellent communication and customer service skills with a friendly, professional demeanor.
- High attention to detail and ability to maintain confidentiality with sensitive client information.
- Must be able to pass a background check. Insurance licensing or willingness to become licensed is a plus.
