SCOPE OF RESPONSIBILITIES
Responsibilities include ensuring accurate financial reporting, compliance with regulations, effective use of funds, and accomplishing the financial goals of the Chamber of Commerce as directed by the Chamber President. This role involves tasks like recording donations, preparing financial statements, preparing and managing budgets, applying for grants, and overseeing grant spending for the Putnam County Chamber of Commerce, as well as The Highlands Foundation, the Public Building Authority, and Leadership Putnam, which are all under the umbrella of the Chamber of Commerce.  Duties include: 

  • Managing day-to-day accounting functions, including general ledger entries, accounts payable/receivable, and bank reconciliations. 
  • Recording donations, grants, and other revenue sources, ensuring proper allocation and tracking. (Examples are Chamber membership dues, Highlands Economic Partnership and Highlands Foundation investments, Public Building Authority (Leslie Town Centre) event revenue, Leadership Putnam tuition, grants, etc.) 
  • Processing payroll, expense reimbursements, and other HR-related tasks.                                                       
  • Developing and overseeing the annual budgets, and long-term financial plans.
  • Preparing and presenting financial statements.                                  
  • Tracking grant spending, ensuring compliance with grant agreements, and preparing grant reports. 
  • Ensuring compliance with GAAP (Generally Accepted Accounting Principles), tax, audit, and reporting requirements.                                                                                   
  • Preparing necessary documentation and supporting external auditors during financial audits. 
  • Maintaining internal accounting controls to mitigate risks of errors and fraud. 
  • Analyzing financial data, identifying trends, and providing insights to support decision-making. 
  • Communicating financial information to stakeholders, including board members, investors, and program managers. 
  • Supervising administrative staff and overseeing HR functions, including recruitment, onboarding, performance management, and benefits administration.
  • Managing organizational policies, procedures, and compliance with legal and contractual obligations.
  • Overseeing facilities management, office systems, and procurement.
  • Coordinating IT and technology resources to ensure efficiency and data security.
  • Support governance activities, including board meeting preparation, documentation, and records management.
  • Advising executive leadership on financial and operational matters.
  • Participating in strategic planning and decision-making.
  • Fostering a culture of accountability, transparency, and efficiency across the organization.
REQUIRED SKILLS/QUALIFICATIONS
  • Bachelor’s degree in Accounting or Finance (Master’s or CPA preferred).
  • Minimum 5–7 years of progressively responsible experience in finance and administration.
  • Proven experience with budgeting, financial analysis, and compliance.
  • Strong leadership, organizational, and communication skills.
  • Proficiency in QuickBooks Desktop and Microsoft Office Suite.
  • Ability to manage multiple priorities in a fast-paced environment.

Full-time, exempt  
Monday – Friday, 8:00AM – 5:00PM 
Occasional early morning and nights.
